2. What data we collect

Contact form enquiry
Name, company, email, phone (if provided), enquiry type, event date, message content.
Agency partner registration
Agency name, contact name, email, agency website, description of agency.
Referral partner application
Name, email, phone (if provided), LinkedIn profile or website, description of network.
Render request
Name, company, email, brand assets (logos, colours) provided for the render.
Email and phone correspondence
Name, email address or phone number, content of correspondence.
Website visits
IP address, browser type, pages visited, time on site, referring URL. This data is collected via cookies and server logs.
We do not collect any special category data (such as health information, racial or ethnic origin, political opinions, or biometric data).
3. How we use your data
Responding to enquiries
When you submit a contact form, send an email, or call us, we use your data to respond to your enquiry, produce renders, provide quotations, and manage the booking process. The legal basis for this processing is legitimate interest (responding to a genuine business enquiry) and, where a booking is confirmed, performance of a contract.
Managing partner relationships
When you register as an agency partner or apply to become a referral partner, we use your data to review your application, set up your account, communicate about bookings, and manage the partnership. The legal basis is legitimate interest and, once the partnership is confirmed, performance of a contract.
Producing renders
When you provide brand assets (logos, colours, guidelines) for a render, we use those materials solely to produce the requested render. Brand assets are not shared with third parties and are not used for any purpose other than the render and any subsequent booking. The legal basis is legitimate interest.
Marketing communications
We will only send you marketing communications if you have given your explicit consent. You can withdraw consent at any time by contacting us at hello@eventactivators.co.uk or by clicking the unsubscribe link in any marketing email. We do not share your data with third parties for their marketing purposes.
Website analytics
We use cookies and similar technologies to understand how visitors use our website, improve the user experience, and monitor website performance. See Section 7 (Cookies) below for details.
4. Who we share your data with
We do not sell your personal data to third parties. We may share your data with the following recipients, only to the extent necessary for the purposes described in this policy.
Sovereign Exhibitions (fabrication partner)
For delivery logistics and scheduling only. Sovereign receives the delivery address, event dates, and unit specification. They do not receive your contact details, brand assets, or commercial terms.
Wix.com (website hosting)
Form submissions and CRM data are processed through Wix's infrastructure. Wix acts as a data processor on our behalf.
Email service provider
If we send marketing emails, your email address is processed by our email service provider acting as a data processor.
Professional advisors
Accountants, legal advisors, or insurers where necessary for business administration or legal compliance.
Law enforcement or regulatory bodies
Where required by law or to protect our legal rights.
We require all third-party processors to handle your data in accordance with UK data protection law and to implement appropriate security measures.
5. How long we keep your data
Enquiry form submissions (no booking)
24 months from the date of submission, then deleted.
Client data (booking confirmed)
6 years from the end of the hire period, in line with UK tax and contractual requirements.
Agency partner data
Duration of the partnership plus 24 months, then deleted.
Referral partner data
Duration of the partnership plus 24 months, then deleted.
Brand assets (logos, colours)
Deleted within 30 days of the hire period ending, unless the client requests we retain them for future bookings.
Website analytics data
As determined by the analytics provider. See Section 7 for details.
6. Your rights
Under UK data protection law, you have the following rights in relation to your personal data.
Right of access
You have the right to request a copy of the personal data we hold about you. We will respond within 30 days of receiving your request.
Right to rectification
You have the right to ask us to correct any personal data that is inaccurate or incomplete.
Right to erasure
You have the right to ask us to delete your personal data where there is no compelling reason for us to continue processing it. This right does not apply where we are required to retain the data for legal or contractual reasons.
Right to restrict processing
You have the right to ask us to limit how we use your data in certain circumstances, for example while we investigate a complaint you have made.
Right to data portability
You have the right to request that we transfer your personal data to another organisation or to you in a structured, commonly used, machine-readable format.
Right to object
